Girl Scouts Carlsbad Service Unit Encampment Program 2024-2025

“Encampment” is a Girl Scouts tradition where troops from the service unit come together to camp at one hosted location. The goal is to provide Girl Scout camaraderie, learn or practice outdoor skills, and increase confidence and independence - whether it be for a day at camp, one night or two. Think of it as Mini-Girl Scout Camp!
REGISTRATION PROCESS
The registration form will go live once a committee has been formed and plans are underway. You will be asked to submit the required paperwork via the registration form. Many of these items must be submitted as a single pdf. If you need help with this, here are a few articles that may help: wikihow, iphone/ipad, and more.
Forms: The following COMPLETED forms are required to be uploaded into the registration form:
Troop Attendee Roster: all attendees (girls AND adults alike) must be included here. Emergency contacts for all attendees should be people that are not at the campout.
Event Permission Form: the template form your troop members will sign must be uploaded for approval. The top portion only.
Adult Health History Forms: completed for each troop adult volunteer attending
Girl Scout Health History and Annual Permission Forms: completed for each Girl Scout attending. (Note these are 2 documents)
Registration Review - Once the troop submits the registration form, the Encampment Team will review the troop’s registration package.
Submit Payment - When the registration package is considered complete and meets all the requirements, the troop leader(s) will receive an email from treasurer@gscarlsbad.org with the Service Unit Wells Fargo account number and the total cost for the troop. The troop leader is required to deposit the total cost into the Service Unit bank account at the Wells Fargo branch of their choosing and email a photo of the deposit slip to treasurer@gscarlsbad.org. Refunds will not be issued.
Registration Confirmation - Once payment is received, registration is complete and the troop leader will receive a registration confirmation via email.
Frequently Asked Questions
What level scouts can attend?
All level scouts can attend. Even Daisies can get a taste of camp life as day campers if they are not ready to stay overnight away from their parents.
How many adults can I bring?
Refer to the San Diego Girl Scouts chart. No additional adult volunteers are permitted to attend. Registrations will not be accepted if additional adult volunteers are attempted to be registered.
What training do I need as a Troop Leader/Adult Chaperone?
Every Troop should bring a First Aid Trained adult and troop First Aid Kit.
Each troop that is cabin camping overnight should have an adult that has taken Basic Overnights (30 mins, online in MyGS>GSLearns> Basic Overnights course.

Volunteers will require Let’s Make a Fire and Camp Cooking training (2 separate trainings) if they intend on camp cooking. There are plenty of no-cook options to consider for those troops without Cooking training.
Are we doing swaps? And what are those anyway?
Yes, each scout should bring 15-20 pieces of your S.W.A.P. The more S.W.A.P.s a scout brings, the longer they can swap. Please make your S.W.A.P.s before arrival at camp. There is not time in the schedule to make them at encampment, only time to trade them.
